Point of Sale staff management

When you have staff who help you to sell in person, you need to give those staff permissions so that they can use Shopify POS to run your store.

All Shopify POS staff need to be given access to Shopify POS by selecting the Give Point of Sale access to this staff permission on the Users and permissions page in the Settings section of your Shopify admin.

To log in to Shopify POS using a Shopify ID or login credentials, staff need Shopify POS login requirements. If staff don't have all the required permissions, then they can only use a PIN to log in after staff with the required permissions has logged in first.

You can give different staff different permission levels to your store's Point of Sale (POS) and retail activities using POS roles, which are a set of permissions. You can create different POS roles that, when assigned to your Point of Sale staff, determine how much permission each staff has to the various activities that are required to run your store.

Adding Point of Sale staff

If you're the store owner, or you have the Manage Point of Sale staff permission, then you can use the Shopify admin or the Shopify POS app to add or remove staff that have access to Shopify POS.

You can have two types of staff with access to Shopify POS:

  1. POS app only staff that have access to Shopify POS, but don't have access to your Shopify admin. POS app only staff are only available to merchants using Shopify POS Pro.

  2. Staff that have both Point of Sale access and Shopify admin access, including the POS channel.

All staff with Point of Sale (POS) access need a unique four-digit personal identification number (PIN) to access POS.

Shopify POS login requirements

To log in to Shopify POS using a Shopify ID or login credentials, staff accounts need the following 13 permissions:

  • Home

  • Orders

  • Edit orders

  • Draft orders

  • Products

  • Gift cards

  • Customers

  • Reports

  • Marketing

  • Discounts

  • Manage and install apps and channels

  • Manage settings

  • Manage locations

You also need to select Give Point of Sale access to this staff in the Point of Sale access section to give staff access to Shopify POS.

Staff with limited admin permissions and POS app only staff can't log in to Shopify POS unless the store owner or a staff account with the required permissions logs in first.

When staff enter their PIN and process a sale, their staff name is connected with that order. You can see which staff processed an order on the order's detail view in Shopify POS, and in the order's Timeline in the Shopify admin.

Before you add staff, you can create POS roles that give your Point of Sale staff permission to specific activities that are required for running your store in person. A default role called Associate is created for all Point of Sale staff, but you can use or create additional POS roles to help manage your Point of Sale staff.

You can add Point of Sale staff in three ways:

  • From the Staff screen of Shopify POS.

  • From the Point of Sale channel of your Shopify admin.

  • From the Users and permissions settings page of your Shopify admin.

If you're using Shopify POS Pro, then you can add POS app only staff from the Point of Sale channel in the Shopify admin or from within Shopify POS.

Point of Sale permissions can be given to staff who have Shopify admin access using the Shopify admin from either the Point of Sale channel or the Users and permissions page.

If you're the store owner or have the Manage Point of Sale staff permission, then you can add POS app only staff using Shopify POS.



Steps:

  1. From Shopify POS, tap , and then tap Staff.

  2. Tap Add staff.

  3. In the CONTACT INFORMATION section, enter the required details.

  4. In the POS APP ACCESS section, tap Edit.

  5. Optional: To see the list of permissions within each role, select the role and then tap View Details.

  6. Select a role, and then tap Save.

  7. Optional: If you want to create a different PIN than the default PIN, then do the following:

    1. In the SECURITY section, tap Edit.

    2. Tap Generate new PIN or use the keypad to enter a PIN. Staff use this PIN to access Shopify POS. Make sure your staff knows what their PIN is.

  8. Tap Save.

If you're the store owner or have a staff with the Manage Point of Sale staff permission, then you can add POS app only staff from the Point of Sale channel in the Shopify admin. You control your staff's permissions for the Shopify POS by assigning them a predefined POS role.

Steps:

  1. From the Shopify admin, in the SALES CHANNELS section, click Point of Sale > Staff.

  2. Click Add staff.

  3. Enter the required information.

  4. Select a POS role.

  5. If you want to create a different PIN than the default PIN, then in the PIN section, click Generate random PIN or enter a PIN. Staff use this PIN to access Shopify POS. Make sure your staff know what their PIN is.

  6. Click Save.

If you're the store owner or have the Manage Point of Sale staff permission, then you can create POS app only staff from the Shopify admin. You can also control their permissions on the POS app by assigning them a predefined role.

Steps:

  1. From the Shopify admin, under SALES CHANNELS, click Point of Sale > Staff.

  2. Click Add staff.

  3. Enter the staff's contact information.

  4. Select the POS role that you want to assign.

  5. Under the PIN section, click Generate new PIN to assign a unique PIN to your staff. Staff will use this PIN to access the Shopify POS app.

  6. Click Save.
